Job Title: Administration Manager
Location: On-site/Remote/Hybrid
Type: Full-Time
Reports to: Operations Director / Managing Partner
The Role
As our Administration Manager, you will be the central hub of our office. You will oversee daily operations, manage vendor relationships, and ensure our workspace is efficient, compliant, and—most importantly—energetic. You will wear many hats, from facilities management to executive support, and you will play a key role in maintaining our culture.
Key Responsibilities
-
Office & Facilities Management: Oversee the daily upkeep of our office. Ensure the space is organized, well-stocked, and reflects our brand identity. Manage relationships with landlords, cleaning crews, and maintenance providers.
-
Vendor & Procurement: Manage contracts and negotiations with suppliers (IT, catering, office supplies, travel). Ensure we are getting the best value without compromising on quality.
-
Executive Support: Provide high-level administrative support to the Partners and senior leadership team, including calendar management, travel coordination, and expense reporting.
-
Event Coordination: Plan and execute internal team events, town halls, and client meetings. From booking the venue to ordering the catering, you make it happen.
-
HR & Onboarding Support: Assist the People team with onboarding new hires (IT setup, desk preparation, welcome kits) and maintaining employee records.
-
Process Improvement: Identify bottlenecks in our daily administration and implement tech-forward solutions to streamline workflows. We hate bureaucracy; help us keep it lean.
Who You Are
-
Experienced: You have 3–5+ years of experience in office management, administration, or operations, ideally within a fast-paced professional services, tech, or startup environment.
-
A Multitasker: You can juggle multiple priorities without dropping the ball. You stay calm under pressure and adapt when plans change (which happens often here).
-
Tech-Savvy: You are proficient with Google Workspace, Microsoft Office, and have experience using project management tools (Asana, Trello, Slack). You pick up new software quickly.
-
Proactive: You don’t wait for instructions. You see a problem, you figure out a solution, and you execute it.
-
Personable: You have excellent communication skills. You are approachable and can build relationships with everyone from the interns to the Partners.
-
Discreet: You handle confidential information with absolute integrity.
Why Join Us?
-
Growth: We are growing fast. As we expand, so will your role and responsibilities.
-
Culture: We are young, social, and collaborative. We work hard, but we celebrate our wins together.
-
Impact: You will have a direct impact on the company’s efficiency and culture. Your voice will be heard.
-
Compensation: Competitive salary, performance bonuses, and a comprehensive benefits package.
